Growth doesn't stall
because agencies lack talent. It stalls when operations become
the bottleneck.

SYNERGY redesigns recruitment operations from the ground up — removing the hidden constraints that limit performance and building the operational infrastructure agencies need to increase placements, improve profitability, and scale with confidence.

The challenge

Why ambitious agencies plateau

Most recruitment agencies don't struggle because their consultants aren't working hard enough. Growth slows when the operating model underneath can no longer support the ambition on top — and the harder the team pushes, the more visible the cracks become.

01
Manual administration consuming recruiter capacity
Your best consultants are spending hours on tasks that have nothing to do with placing candidates. Every hour in admin is an hour not billing — and it compounds silently at scale.
02
Disconnected systems and fragmented workflows
Tools that don't communicate create duplication, data loss, and a team spending more time managing software than managing relationships. The friction is invisible until it isn't.
03
Inconsistent processes that produce unpredictable results
When execution depends on individual memory rather than structured process, quality varies, candidates fall through the cracks, and growth becomes impossible to replicate.
04
Founder dependency at the centre of everything
If the business can't operate without you in every room, you haven't built a business — you've built a job. A well-designed operational model changes that permanently.
05
No visibility into what's actually driving performance
Without clean data and operational intelligence, strategic decisions are made on gut feel. At scale, that's expensive. At the wrong moment, it's dangerous.
The hidden cost

Where agencies lose hours

The SYNERGY Diagnostic maps your workflow across ten recruitment stages. The chart below shows where hours typically leak — data from our ROA Playbook, drawn from hundreds of agency audits. Your numbers will differ. The principle won't: every stage has automatable hours, and they compound silently.

Our speciality

Recruitment Operations
Architecture

SYNERGY redesigns the operational engine of your recruitment agency. We analyse how your business actually works, identify precisely where performance is being lost, and architect a better operating model — then implement it with precision.

Process Architecture

We map your existing workflows, eliminate friction, and design processes that produce consistent, scalable results — regardless of who is executing them or at what volume.

Systems Integration

We connect your existing tools — ATS, CRM, communication platforms, and data systems — so they operate as a unified, coherent machine rather than a collection of disconnected software.

Intelligent Automation

We implement targeted automation that eliminates repetitive manual work, increases recruiter capacity, and ensures nothing falls through the cracks — at any scale, without adding headcount.

Our method

How we work

Every engagement follows a structured process — designed to deliver clarity, confidence, and measurable results.

1
Diagnostic
Take the free SYNERGY Diagnostic — 5 minutes, 10 stages, your real workflow mapped. You receive an Executive Constraint Report showing exactly where hours leak and capacity is lost.
2
Deskwork
Within 24 hours of receiving your diagnostic & booking, we cross-reference your results against our build library — identifying your top ROI opportunities, matching every gap to a specific build, and preparing a tailored scoping brief with cost of service.
3
Strategy Session
A 30-minute working session. We present your prioritised build plan, the investment, and the timeline. You ask questions, we refine scope together, and prepare to build.
4
Build & Embed
Engagement begins. Every solution is built, tested, documented, and transferred to your team. You own the result — not just the build.
5
Measure & Iterate
After implementation, we track performance against your baseline at 30, 60, and 90 days to ensure the projected ROI.

Questions, answered

Here are some questions you may have. If yours isn't here, the diagnostic will surface it — or ask us on your Strategy Session.

How much does an engagement cost?

Engagements are scoped per agency, but typically fall into two ranges. Setup fee: $2,000 – $10,000 one-off. Retainer: $500 – $2,000 per month thereafter. Covers build and 30 days support. Retainer $500 to $2,000 per month, optional month to month. Exact fee confirmed at Strategy Session.

Will you replace our ATS?

Almost never. We are agnostic about your ATS — we work with what you have. The only exception is when an agency is on a tool that genuinely cannot support their growth stage (we'll tell you honestly if that's the case, and quote a migration scope instead of a patch). Most agencies don't need a new ATS. They need their existing ATS properly architected.

How long does an engagement take?

The diagnostic takes 5 minutes. We review your results within 24 hours. Your Strategy Session is 30 minutes. From there, a single Build engagement typically takes 1-2 weeks to deliver and embed. A full Operations Architecture engagement runs 4-8 weeks depending on scope. We measure against your RCR/PCG baseline at 30, 60, and 90 days post-implementation.

What if we don't have the budget right now?

Take the free diagnostic anyway. The Executive Constraint Report is yours to keep — you can use it to prioritise internal fixes, brief a future consultant, or benchmark where you stand. There's no obligation to book a Strategy Session. If the numbers don't justify an engagement, we'll tell you that on the call.

Do you work with temp/contract desks, or just perm?

Both. Perm, temp, contract, and mixed desks — the operational principles are the same, but the back-office demands differ (timesheet-to-payroll is non-negotiable for temp). Our Playbook covers all eight major ATS platforms and segments recommendations by agency type, recruiter count, and growth stage.

What happens to our data during and after the engagement?

All automations are built inside your own accounts — your ATS, your n8n/Zapier instance, your API keys. We do not host your candidate data. At handover, you receive full documentation of every workflow, every credential, and every build spec. You own what we build.
